Studio Manager required

Creative Exchange Artist Studios is recruiting for the post of Studio Manager to manage the studios, carry out general office administration duties to support the studio artists and Board, manage the finances, work with the Board of Directors to complete funding applications and support the work of the studios.
This is a part time position of 18 hours per week secured for 12 months. We anticipate that the role will continue beyond 12 months, subject to necessary funding.

Job Description
Creative Exchange Studio Manager
Background to the post
Creative Exchange was established in East Belfast in 1996 and in the intervening years has contributed to the history, culture, economy and culture of its locality. Creative Exchange seeks to provide affordable working space for the artistic community, particularly in East Belfast, whilst providing a programme of opportunities for artists to prioritise their practice, develop professionally, engage with communities, raise both individual and collective profiles, and contribute to the sectoral infrastructure in East Belfast and beyond – regionally, nationally and internationally.
Creative Exchange is currently in an exciting developmental phase which will secure the continued success of artist studios in East Belfast and offer more workspaces to those in the creative sector. We are seeking a motivated self-driven person with managerial skills to lead the organisation in to a new phase.
Place of work/contact
The Studio Manager duties will be carried out at the Creative Exchange Studios, Portview Trade Centre, 310 Newtownards Road, Belfast, BT4 1HE. The Studio Manager will have full access to Creative Exchange office equipment whilst carrying out the Studio Manager duties. Some hybrid/home working is negotiable, but an important part of the role is on-site management and being a point of contact for artists with regular working hours (exact days and times to be negotiated).
Line Management
The Studio Manager reports directly to the board, regular ongoing contact will be available via telephone and email. The Studio Manager will keep the board updated on workload priorities and activities carried out, meeting with them on a quarterly basis.
Reporting
The Studio Manager will be expected to attend and report to Board meetings, submit financial updates and bank reconciliations, support the Board with draft and final funding applications, and provide verbal or written reports on general administration progress.
Day to day Duties
The Studio Manager will be the point of contact for liaising with our landlords, Portview Trade Centre.
Maintaining regular contact with studio member artists and keeping abreast of any issues that artists may have in relation to studio rental
Ensuring all studios are full, advertising vacant studios and interviewing potential new members
Attending studio meetings; ensuring member artist needs and expectations are fed back to the board
Publicity and marketing of exhibitions and events on social media and free web listings platforms
Updating content on the Creative Exchange website
Answering queries by email and phone
Ensuring all bills are paid and ensuring the organisation complies with its ongoing charitable and statutory regulations.
Basic upkeep of communal studio area, kitchen & toilet areas
Arranging kitchen and toilet replenishment
Development
The Studio Manager will work with the Board and other contractors to develop a business growth strategy for Creative Exchange Artists Studios, to include the potential development of 900m2 of new studio space within Portview Trade Centre.
Work with the Board to identify and secure additional funding resources for the future sustainable development of Creative Exchange Artists Studios.
Finances
The Studio Manager maintains Creative Exchange finances; ensures studio rents are paid, reconciles incoming and outgoing financial transactions; updates the financial database; and provides financial reports to the Board Treasurer and Board of Directors.
The Studio Manager collates information for the preparation of annual accounts, liaises with Creative Exchange named accountants and submits approved accounts to Companies House.
The Studio Manager also works with the accountant and board to ensure all governance and statutory regulations are updated
The Studio Manager is responsible for following Creative Exchange’s financial procedures and seeks approval for all transactions from the Board Treasurer.
The Studio Manager will be responsible for the procurement of goods and services as required by Creative Exchange in accordance with the financial procedures.
Funding
The Studio Manager will support the Board with the submission of ongoing funding applications (required to sustain Creative Exchange as a functioning and viable studio group), and completing monitoring and evaluation reports for funders.
The Studio Manager will maintain funding links with the Arts Council of Northern Ireland (ACNI) and other funders and support the board in the delivery of the funding strategy.
Office Management
The Studio Manager manages the Creative Exchange office including: document management, managing email correspondence, and acting as the first point of contact for Creative Exchange.
Updating the Creative Exchange databases and archives -using shared drive
Overseeing stationery orders, sorting incoming & outgoing post, petty cash spend
The Studio Manager will play a supporting role in the delivery of Creative Exchange programme of events e.g. Open Studio events and annual members’ exhibitions.
The Studio Manager is responsible for the procurement of goods and services as required by Creative Exchange in accordance with the financial procedures.
Payment
The post of Studio Manager is a part time employed post compliant with HMRC regulations and benefits from workplace pension contributions and paid annual leave.
This is a fixed term position with funding secured until April 2026 (the appointment is subject to continuing annual funding) and also subject to a probation period of three months. The contract will be for 18 hours per week, Salary £14,040 (Full time equiv. £29,250) initially and there is a potential for the hours to increase with the development of the organisation.
Time off in lieu will be offered for additional hours worked.

Essential criteria
At least two year’s experience in an administrative role preferably working or volunteering for an arts or similar organisation
Experience in drafting, submitting and managing funding applications
Experience of keeping and managing basic financial data using spreadsheets and producing financial reports
Experience of preparing reports and papers for a Board, working group or senior staff
Proficient in the use of Microsoft Office applications including word, excel and PowerPoint, email and Google G suite or similar
Able to work on own initiative.
Desirable criteria
An understanding of an artists studios environment; either as a studio member or management
Experience of being the first point of contact for an organisation or company
Delivering the administration for an events programme or curating exhibitions
Development of business plans, business growth strategies and/or fundraising
Procuring goods and services in line with agreed procurement procedures and reporting lines
Social media content management, creating publicity material (posters, flyers etc)
Experience in managing website content
